Verifyne, Inc. ("Verifyne," "we," "us") operates a bill verification platform for finance teams. This Privacy Policy explains what data we collect, why we collect it, and how we protect it. We take data privacy seriously — your financial documents are sensitive, and we treat them accordingly.
Data We Collect
- Account data: Name, work email address, company name, and billing information provided at registration.
- Accounting system data: When you connect QuickBooks or another integration, we sync unpaid bill records (vendor name, amounts, due dates, bill numbers) via OAuth. We do not access your bank credentials or initiate payments.
- Uploaded documents: Contracts, purchase orders, delivery receipts, and other documents you upload for verification. These are processed by our AI pipeline and stored as part of your verification audit trail.
- Verification records: The results of each verification session — flags raised, checks performed, confidence scores, session timestamps, and user actions.
- Usage data: Log data including IP addresses, browser type, pages visited, and actions taken within the platform. Used for security monitoring and product improvement.
- Communications: If you contact support, we retain those communications to resolve your issue and improve the Service.
How We Use Your Data
- To provide the Service: Process documents, run verification checks, generate audit trails, and sync accounting data.
- To communicate with you: Send verification results, billing notifications, product updates, and security alerts.
- To improve the Service: Analyze aggregated, anonymized usage patterns. We do not use your specific documents or verification results to train AI models without your explicit consent.
- To comply with law: Respond to valid legal requests, enforce our Terms, and protect against fraud or abuse.
Data Sharing
We do not sell your personal data. We share data only with:
- Service providers who help us operate the platform (cloud hosting, payment processing, email delivery) — under confidentiality agreements with data processing restrictions
- Accounting integrations (QuickBooks, Xero) — only as required to sync bill data you've authorized
- Law enforcement or regulators — only when legally required and, where permitted, with notice to you
- Successor entities — in the event of a merger, acquisition, or asset sale, with equivalent privacy protections
Data Retention
Verification records and uploaded documents are retained for as long as your account is active, plus 12 months after termination, to support audit needs. You may request earlier deletion of specific records where legally permitted.
Security
We implement industry-standard technical and organizational safeguards including: TLS encryption in transit, AES-256 encryption at rest, access controls and audit logging, and regular security reviews. No system is 100% secure; we will notify you promptly in the event of a breach affecting your data.
